The 5P Meeting Protocol: Re-Engineering Collaborative Alignment

1. Purpose (The "Why")
Never call a meeting to "just catch up". Begin by validating the core reason for bringing people together. Is this a project kickoff, a daily huddle, or a critical decision-making session? The ultimate performance metric for the 5P Strategy is Time to Decide (Decision Latency), measuring how quickly your team moves from identifying a coordination bottleneck to an aligned, high-quality resolution.
Remember, Time derives cost (resources = people, material, equipment). Time is only unit of measure that matters in life. It is the only resource we can never get back.

To make this change stick, do not attempt to overhaul your entire organization at once. Instead, select one routine meeting, such as your weekly team coordination meeting, and apply this targeted 30-Day Intervention:

The Protocol (5P Meeting Invites): Adopt a strict "No 5P, No Meeting" boundary. Draft every single invitation with the 5Ps clearly outlined. This establishes a predictable, psychologically safe environment before anyone even enters the room.

The Ritual (The 5-Minute AAR Check-Out): Reserve the final 5 minutes of your meeting for an After-Action Review (AAR). This is a blame-free, collaborative feedback loop that asks four simple questions:
